Northern Strands Group of Companies is currently recruiting for a Human Resources Administrator. The Human Resources (HR) Administrator will support the HR Department and the Group of Companies by providing administrative support for all HR-related activities and documentation, assisting with employee relations and inquiries, and facilitating hiring and onboarding processes. The HR Administrator is accountable for ensuring accuracy and maintenance of all employee files and handling all aspects of the employment relationship with the highest level of confidentiality and integrity.

DUTIES & RESPONSIBILITIES

  • Assist the full cycle recruitment and onboarding processes, including partnering with hiring managers to ensure consistency
  • Complete job postings on company recruitment platforms, company website, and third-party job posting boards
  • Assist with all HR-related items including but not limited to:
    • Completing applicant pre-screens, arranging interviews, facilitating interviews, assisting hiring manager with screening and selection processes
    • Informing applicants of position details, including working conditions, benefits, and job duties
    • Contacting references and performing background checks on applicants
    • Liaising with HSE Department regarding pre-employment testing, safety orientations, and employee training requirements prior to start date
  • Prepare offer letters and employment contracts, with assistance of Management
    • Distribute employment offer upon approval from HR Manager
    • Provide new hire with necessary information to prepare for first day and hire-on paperwork
  • Conduct employee on-boarding and orientation process for all new hires
  • Group Benefit policy administration, including enrolment, changes, and terminations
  • Administer employee benefit profile, health & wellness spending account, group RSP, and all other employee related items
  • Respond to internal and external HR related inquiries or requests; provide assistance and guidance where required
  • Create and revise job descriptions and job adverts
  • Create and revise corporate policies and procedures, and other HR related items, as requested
  • Manage employee files and create solutions for improvement and efficiencies
  • Support other administrative tasks and special projects assigned by the HR Manager
  • Participate in and support continuous improvement solutions for the department
  • Manage and update HR calendar and database; maintain all tracking spreadsheets for each new hire, transfer, termination, or update of information
  • Attend and provide company representation at human resources and industry conferences, as required
  • Attend and provide company representation at job fairs and other career-building events, as required
  • Participate in the implementation and maintenance of HRIS system
  • Provide support and direction to other departments, when required
  • Maintain professional ethics, integrity, and confidentiality in all situations
  • Maintain compliance with federal, provincial, and local employment laws and regulations, as well as company policies, practices, and procedures
  • Other duties as assigned

REQUIRED EDUCATION, EXPERIENCE, & SKILLS

  • Certificate, diploma, or degree in Human Resources, Business Administration, or related field from an accredited institution considered an asset
  • Minimum 1 year of human resources or administration related work experience preferred
  • Industry-related experience would be considered an asset
  • Any equivalent combination of training, education, and experience that provides the required skills, knowledge, and abilities will be considered
  • Proficiency in Microsoft Office 365 applications (Outlook, Word, Excel, etc.) is required
  • Excellent verbal and written communication skills
  • Must possess strong organization skills and attention to detail
  • Able to handle competing priorities simultaneously; work well under pressure with time-sensitive deadlines
  • Excellent interpersonal skills to handle employees at all levels in the organization, sometimes in difficult or stressful situations
  • Maintain confidentiality, exercise judgement and discretion when dealing with employees and sensitive situations
  • Strong notetaking/minutes skills and synthesis of information
