The Document Control & Compliance Coordinator is responsible for assisting in the development and revision of the Quality Management Systems (QMS) for the Northern Strands Group of Companies (NSGC). Using ISO 9001 standards of compliance as a benchmark, the Document Control & Compliance Coordinator will assist in the maintenance of quality records, update documentation for the Group of Companies, and provide support to all quality programs and initiatives.

The Document Control & Compliance Coordinator assists with audits, tests, and inspections. Additional responsibilities comprise of identifying and recording risk relating to quality, identifying production procedure and process issues, and working with other departments to implement corrective action follow up and procedures.

DUTIES & RESPONSIBLITIES

Quality Management Systems

  • Ensure that requirements for document control are maintained and updated throughout all levels of NSGC
  • Ensure all departments within NSGC have established systems with proper document control processes in place
  • Assist with maintenance and periodical updates of written QMS manuals for non‐ISO companies that are structured in accordance with ISO 9001 standards
  • Assist with the ISO QMS and Document Control Master Directory for Fortis including updates, revision, and notifications to NSGC ISO documentation
  • General preparation of project documentation – Inspection Test Plans (ITP) and project turnover packages
  • Prepare and compile documentation as it applies to the American Society of Mechanical Engineers (ASME) standards for process and power piping manufacturing, testing, and installation
  • Assist the Quality Control Inspector with the maintenance of the Canadian Welding Bureau (CWB) program, scheduled audits, and Non‐Destructive Examination (NDE) testing processes

Audits & Quality System Review

  • Assist with internal audits, both in‐house and at customer sites; generate audit reports based on results
  • Assist with continuous improvement system audits throughout workstations in the shops
  • Work with external ISO Auditors during the Fortis Integrated Management System (IMS) annual recertification surveillance audit
  • Participate in the semi‐annual Fortis Management Review Meetings (MRM) for ISO and maintain appropriate records
  • Conduct internal reviews of the QMS for all companies with any outside party, including customers and suppliers, when necessary
  • Develop and conduct quality audits on suppliers and their facilities, when necessary
  • Maintain ISO equivalent document control processes for both Northern Strands and Certified Sales and Rentals
  • Ensure the system documentation, records, and internal databases and schedules are consistent and up to date
  • Lead in the distribution process of all document update notifications for any new and revised document or codes and standard updates throughout NSGC

Quality Procedures & Processes for Internal Stakeholders

  • Assist departments with creating procedures and work instructions
  • Develop process maps along with the implementation of document control best practices
  • Active identification of potential risks, threats, and develop mitigation strategies
  • Assist in routine inspections, tests, and quality auditing
  • Communicate with all departments to coordinate scheduling for quality testing and process review
  • Assist the Quality Manager in establishing Key Performance Indicators (KPI) and implement a reporting cycle to ensure they are maintained and reviewed
  • Develop and update checklists, processes, and procedures for internal assessment of quality
  • Assist the Engineering Department in effective handling and documentation of engineering changes, and the application of standardized naming conventions

Quality Procedures & Processes for External Stakeholders

  • Assist the Quality Manager, in partnership with Division Managers, to create procedures, work instructions, and process mapping
  • Assist with the development of checklists and processes as it pertains to receiving inspection of purchased products
  • Assist with the investigation process of external quality escapes related to non‐conformities
  • Participate in addressing customer complaints, discussion of remedial action, and documentation of customer feedback
  • Assist in the completion of quality related questions regarding NSGC’s quality programs on prequalification questionnaires with projects and sales teams

NonConformance & Reports

  • Participate in non‐conformance meetings with the Quality Department
  • Review preventative and corrective action plans with all parties involved in the Non‐Conformance Report (NCR) process
  • Assist with preparing and submitting quarterly NCR reports with cost analysis to NSGC business units and Division Managers
  • Identify any remedial action required with current workflow and production issues
  • Assess employee skill and competency levels as it pertains to non‐conformances during the manufacturing process

Continuous Improvement

  • Document initiatives for continuous improvement and develop opportunities for improvement within the organizations
  • Remain current on ISO standards and best practices as it relates to compliance and the QMS

REQUIRED EDUCATION, EXPERIENCE & SKILLS

  • Experience working in Quality Assurance (QA) and/or Quality Control (QC) in a manufacturing setting
  • ISO 9001 Lead Auditor Training and/or ISO 9001 Internal Auditor is required
  • Experience working with ISO compliance and the QMS would be an asset
  • Working knowledge of tools, methods, and concepts of quality assurance
  • Ability to utilize critical thinking to analyze situations, procedures, and corrective and preventative actions
  • Ability to communicate clearly, both written and verbal
  • Ability to work well under pressure and meet critical deadlines
  • Ability to facilitate and manage change
  • Strong organizational skills and attention to detail
  • Proficient with Microsoft Office applications (Outlook, Word, Excel, etc.)
  • Valid class 5 driver’s license
